Coordination Assistant & Service Administrator

Job Description.

Reporting to the Coordination Manager & Technical Director, you will be responsible for assisting in the day-to-day running of the EDC Service Team.

Role & Responsibilities.

Your routine will vary, but you will be expected to.
o    Assist with the engineering diary.
o    Schedule meetings, take notes (minutes) and update all parties.
o    Chase EDC customers for purchase orders.
o    Chase EDC customers for updates on quotes.
o    Chase EDC suppliers for quotes and outstanding information.
o    Speak with EDC customers, clearing issues, updating on job progress and with delivery times.
o    Assist in the creation of job costing and passing for invoicing.
o    Chase engineering team for outstanding information relating to complete jobs.
o    Keeping the engineering diary updated with pending jobs.
o    Keeping the engineering diary updated with training dates & tool calibration data.
o    Updating and assisting with the control of the engineer holiday calendar.
o    Assist with organising site access for upcoming engineering jobs.
o    Assist with passing invoices at month end.
o    Provide monthly reports on engineer utilisation.
o    Provide monthly reports on current work in progress jobs.

Skill Set.

o    Proficient with Microsoft office-based programs such as Word & Excel.
o    Excellent telephone manner.
o    Good under pressure and able to work accurately to deadlines.
o    Investigative, persistent & friendly personality with a positive outlook.
o    Presentable with good time keeping.
o    Adaptable and willing to learn.

Additional Responsibilities.

o    From time to time, you may be asked to greet visitors arriving on site.
o    Occasionally you may be asked to assist management in general administrative duties.
o    You may be expected to attend internal/site meetings to provide progress reports & updates.

General Terms & Conditions.

o    Minimum 32 Hour Contract, 5 days per week, hours flexible. Full time 39.5 hours available also.
o    Annual leave calculated as per contract hours. (Max 32 days for 39.5hr contract).
o    Eligibility for pension scheme.
o    3-Month probation period will apply.
o    All office equipment is provided.
